Junior Payroll Specialist BPO

Hybrid – Split between Manchester and remote

As a Junior Payroll Specialist, you will assist with the processing of Client Payrolls and HR transactional activities. To ensure accurate processing of the Client Payroll, providing accurate information and reports in a timely manner (in line with Client SLAs).

  • To be a Client-facing representative of the BPO team, providing exceptional Customer service at all times
  • Providing a positive, personal, responsive and efficient service to all of our Customers
  • Providing the fastest route to Customer resolution
  • Setting clear expectations and following-up on what we say
  • Recognise and respect differing levels of technical knowledge and adjusting communication style accordingly
  • To maintain Customer satisfaction (which will be monitored through Customer satisfaction surveys)

Main duties and responsibilities

  • To answer telephone calls from multiple BPO Clients, in line with SLA (Service Level Agreement)
    Input and process HR and Payroll data in a timely and accurate manner to ensure continual SLA adherence
  • Manage Client cases, and responding to client queries and requests whilst adhering to SLAs
  • Completing Payroll processes as per the Payroll Processing Checklist (PPC)
  • Completing letters for maternity schedules/SOEs/Overpayments and any other agreed correspondence (as per the COM)
  • Preparing BACS files ready for approval and submission (as per the outlined procedure in the BOM)
  • Reconciling the Payroll as per the PPC and Payroll Controls
  • Ensure confidentiality of Customer data is maintained at all times
  • Ensure Information Security policies are adhered to at all times
  • To work in line with all Payroll processes as per documented manuals
  • To undertake any other reasonable duties commensurate with the level of the post to ensure the smooth running of the department and its services (as instructed by the Manager, Payroll Lead or experienced Team members)
  • Work with cross departmental Teams, both internally and with the customer, to deliver exceptional service
  • UAT of any system changes, in line with the Testing process
  • To work in line with the Symatrix Information Security Management System (ISMS)
  • To undertake any other reasonable duties commensurate with the level of the post to ensure the smooth running of the Company
  • Escalating any Client-related issues to the BPO Manager/Payroll Lead or a more experienced member of the Team

Objectives:
As this is a junior role, there are some key objectives which are required to be met by the individual. After 12 months in the role you should be able to: 

  • Understand and be able to articulate the Symatrix Payroll service model; including its benefits and limitations. Measured through questioning.
  • To receive positive feedback from colleagues on Team work, with no more than 2 “areas for improvement” relating to responsibility and ownership.
  • To understand the Testing process, and to follow it completely for all Testing activities
  • To contribute to the Client Specific Payroll Operating Guide (CSPOG)
  • To be competent on all Cloud Payroll platforms, and be able to follow all processes in line with the CSPOG

  • Experience of using and becoming familiar with various and new Systems
  • An awareness of Oracle HR and Oracle Payroll Modules
  • Experience of talking with Customers on the telephone
  • Advanced Microsoft Excel skills
